A-T Solutions, Inc. is currently accepting resumes for an experienced and qualified Executive Assistant to the Executive Staff of A-T Solutions, Inc. The successful executive assistant will be able to support the day to day business needs of Executive Staff. The Executive Assistant will interact frequently with Executive and Senior level management within A-T Solutions, Inc. and its equity partner, CoVant. This person will need to be able to work within a team environment as well as individually. This individual must possess a can-do attitude that drives all tasks to successful conclusion. The candidate must have a passion for the Anti/Counter-Terrorism mission of the company. In addition, the executive assistant must be able to manage the complex and diversified administrative support to the Executive Staff of A-T Solutions, Inc. This position will be located in the Washington D.C. area and require an active Top Secret/SCI clearance. Candidates must have had an active TS/SCI within the past 4 years.
Knowledge, Skills, & Abilities:
Ø Maintain the calendar of the Executive Staff as necessary. Maintain and organize Executives’ schedules and provide direct support to their daily activity – includes extensive coordination of day-to-day scheduling of appointments and contacting clients or partners for local and out-of-town meetings. Note commitments made by executives during meetings. May establish appointment priorities and reschedule or refuse appointments or invitations. Anticipate and prepare materials and agendas needed by executives for meetings, appointments, telephone calls and inform executives on matters to be considered. Provide logistical support to executives and their guests during meetings.
Ø Support weekly senior staff meetings by scheduling the meeting, taking meeting minutes, action items, etc. and following up on essential items.
Ø Make and/or coordinate travel arrangements.
Ø Interface with company executives (internally and externally) on day-to-day operations and of a confidential nature.
Ø Produce executive level reports, presentations and other documents for the staff (e.g., monthly operations review, quarterly Board of Directors’ meetings, etc.) as required.
Ø Support merger and acquisition and associated integration activities.Ø Provide leadership or support to activities of the day to day business as requested or as necessary.
Ø Answer telephones, take messages and follow up as necessary.Ø Anticipate the needs of the executive team. By employing a self-starting, empowered mindset ensure that the executive team is as effective as it can be.
Ø Establish a working level relationship with the executive assistants of the CEO, equity partner (CoVant), key partners and customers.
Ø Support special projects as requested.
Education and Experience: 10 years or more of progressive administrative support experience with a senior executive team. Prior experience interfacing with executive and senior level management required.
Certifications and Other Qualifications:
Ø Ability to maintain confidentiality and exercise absolute discretion in sensitive matters.
Ø Ability to deal professionally and diplomatically with individuals at all levels.
Ø Superior situational awareness skills and understanding of military rank structure and protocol necessary for interfacing with Flag / General officers or other VIP’s.
Ø Good working knowledge of merger and acquisition and associated integration activities.
Ø Excellent organizational skills and attention to detail; ability to prioritize workload and utilize time efficiently.
Ø Capacity to work within tight timeframes, work well independently and as a team player.
Ø Able to manage simultaneous projects in a fast-paced environment and ability to function well under pressure.
Ø Uses own judgment and initiative to determine the required action of the function without overly involving the Executives.
Ø Demonstrates and anticipates executive needs, which require a comprehensive understanding of the goals, objectives and day-to-day operations.
Ø Self-motivated; able to work independently with limited direction from management.
Ø Excellent oral, written and interpersonal communication skills.
Ø Eagerness to assume additional responsibilities and learn new technology.
Ø Extensive knowledge in Microsoft Word, Excel, Outlook; proficient with PowerPoint, and excellent secretarial skills (shorthand or speedwriting, typing 65+ wpm).
